QuickBooks Integration Terms of Use

1. About these terms
These Terms of Use apply to Jolie Fête’s private QuickBooks Online integration (the “Integration”).
The Integration connects QuickBooks Online with Jolie Fête’s Notion workspace to support internal purchasing and accounting administration.
It is an internal business tool and is not offered as a product or service to customers, suppliers or third parties.
2. Authorised use
The Integration may only be used:
- By Jolie Fête personnel or contractors who have been expressly authorised.
- For legitimate Jolie Fête business purposes.
- In accordance with applicable accounting, tax, data-protection and other legal requirements.
- In accordance with Intuit’s, QuickBooks Online’s and Notion’s applicable terms.
Users must not attempt to use the Integration to access another organisation’s QuickBooks company or for any unauthorised purpose.
3. Available functions
The Integration may provide functions including:
- Searching QuickBooks supplier and product records.
- Looking up accounts and tax codes.
- Validating purchase-order information.
- Preparing purchase-order previews.
- Calculating expected totals.
- Creating an approved purchase order in QuickBooks Online.
Additional functions may be added or removed as Jolie Fête’s internal requirements change.
4. Review and approval
The Integration is designed to require review before creating a purchase order.
An authorised user is responsible for checking:
- The correct supplier has been selected.
- Products and QuickBooks item references are correct.
- Quantities and unit prices are accurate.
- VAT or tax treatment is appropriate.
- The transaction date and purchase-order number are correct.
- Notes, delivery details and account allocations are appropriate.
- The displayed total agrees with the intended supplier order.
Approval must not be given where information is incomplete, unclear or appears incorrect.
5. Accuracy of source information
The Integration may rely on information extracted from spreadsheets, PDFs, emails or other supplied documents.
Automated extraction and matching may occasionally be incomplete or incorrect. Users must not assume that information is accurate merely because it has been processed by the Integration.
The original supplier document and the purchase-order preview should be checked before approval.
6. Authentication and account security
Users must:
- Keep their QuickBooks and Notion accounts secure.
- Use only their own authorised credentials.
- Not share passwords, access tokens or application secrets.
- Report suspected unauthorised access promptly.
- Disconnect the Integration if access is no longer required or authorised.
The Integration uses OAuth authorisation and does not require users to provide their QuickBooks password to the Worker.
7. Third-party services
The Integration depends on services supplied by Intuit and Notion.
Availability and functionality may be affected by:
- Service outages or maintenance.
- API changes or restrictions.
- Expired or revoked authorisation.
- QuickBooks subscription or feature changes.
- Rate limits and security controls.
- Changes made by Intuit, Notion or other service providers.
Jolie Fête does not control the continued availability of third-party services.
8. No autonomous accounting decisions
The Integration assists with administrative processing but does not replace professional judgement.
It does not provide legal, tax or accounting advice. Responsibility for transaction approval, VAT treatment, account coding and the accuracy of Jolie Fête’s books remains with the authorised user and, where appropriate, Jolie Fête’s accountant or bookkeeper.
9. Prohibited use
Users must not use the Integration to:
- Create false, misleading or unauthorised transactions.
- Circumvent required approval controls.
- Access information unrelated to their role.
- Introduce malicious code or interfere with the Integration.
- Share confidential accounting information without authority.
- Use the Integration for another business or QuickBooks company without written approval.
10. Suspension and termination
Jolie Fête may suspend, restrict or withdraw access to the Integration at any time, including where:
- Access is no longer required.
- A user leaves or changes role.
- Security or accuracy concerns arise.
- Third-party access is revoked.
- The Integration is being misused.
- Continued operation is no longer practical or compliant.
Disconnection does not remove transactions already created in QuickBooks Online.
11. Availability and warranties
The Integration is provided as an internal operational tool.
While reasonable care is taken in its design and maintenance, it may contain errors or become temporarily unavailable. Users must maintain appropriate checking procedures and should not rely on the Integration as the sole record of a supplier order.
12. Responsibility and liability
Authorised users are responsible for reviewing transactions before approval and reporting errors promptly.
Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence.
13. Confidentiality and data protection
Information accessed through the Integration must be treated as confidential business information.
Users must follow Jolie Fête’s applicable privacy, security, accounting and record-retention requirements. Personal data must be handled in accordance with the QuickBooks Integration Privacy Notice and applicable data-protection law.
14. Changes to these terms
Jolie Fête may update these terms if the Integration, its available functions or applicable requirements change.
The latest version will be published on this page with its revision date.
15. Governing law
These terms are governed by the laws of England and Wales. The courts of England and Wales will have jurisdiction over any dispute arising in connection with them.
