QuickBooks Integration Privacy Notice

1. About this notice

This Privacy Notice explains how Jolie Fête (“we”, “us” or “our”) handles information when using our private QuickBooks Online integration (the “Integration”).

The Integration is an internal business tool used by authorised Jolie Fête personnel. It is not offered to customers, suppliers or the general public.

The Integration connects QuickBooks Online with our Notion workspace to help prepare, validate and create purchase orders and perform related purchasing administration.

2. Who is responsible for the information?

Jolie Fête is responsible for determining how information processed through the Integration is used.

3. Information the Integration may process

The Integration may process the following categories of information:

• Supplier names, identifiers and contact details held in QuickBooks Online.
• Product and service names, SKUs, descriptions and QuickBooks item identifiers.
• Purchase prices, quantities, VAT or tax codes and account references.
• Purchase-order dates, numbers, notes, line items and totals.
• QuickBooks account and Accounts Payable information needed to validate transactions.
• Order information contained in spreadsheets, PDFs or other documents supplied by authorised users.
• Technical information required to authenticate with QuickBooks Online and operate the Integration.
• Limited execution records and error information used for security, auditing and troubleshooting.

The Integration uses QuickBooks Online’s accounting authorisation scope. This may technically permit access to accounting information beyond the specific records listed above. However, the Integration is designed to access only the information required for its approved purchasing functions.

4. How we use the information

We use information processed through the Integration to:

• Search for and identify QuickBooks suppliers and products.
• Validate supplier, product, account and tax information.
• Prepare purchase-order previews.
• Calculate and verify purchase-order totals.
• Create purchase orders after an authorised user has reviewed and approved them.
• Identify missing, duplicated or inconsistent information.
• Maintain appropriate operational and accounting records.
• Investigate errors, maintain security and improve the reliability of the Integration.

The Integration is not designed to create a purchase order without an authorised user first reviewing and explicitly approving the proposed transaction.

5. Our lawful basis

Where information processed through the Integration constitutes personal data, we rely primarily on:

• Legitimate interests: operating our business efficiently, managing supplier relationships and maintaining accurate purchasing records.
• Legal obligations: maintaining accounting, tax and business records where required by law.

We consider the Integration’s use of personal data to be limited and proportionate to these purposes.

6. Services involved

The Integration uses services supplied by:

• Intuit, which provides QuickBooks Online and its application programming interface.
• Notion, which provides the Notion workspace and hosted Worker used to operate the Integration.
• Other professional, technical or hosting providers where reasonably necessary to maintain our business systems.

These providers may process information on our behalf or under their own applicable privacy terms.

We do not sell personal data processed through the Integration.

7. Storage and retention

The Integration does not intentionally maintain a separate permanent copy of the entire QuickBooks account.

Information may remain:

• In QuickBooks Online as part of the company’s accounting records.
• In purchase orders created by the Integration.
• In source documents uploaded or supplied by authorised users.
• In our Notion workspace, including relevant conversations or working records.
• In limited technical logs retained for security, support and troubleshooting.

We retain information only for as long as reasonably necessary for business, accounting, tax, security and legal purposes.

8. International data transfers

Intuit, Notion or their service providers may process information outside the United Kingdom. Where this occurs, the relevant provider is responsible for using appropriate safeguards in accordance with applicable data-protection law and its contractual commitments.

9. Security

We take reasonable organisational and technical measures to protect information processed through the Integration.

These measures include:

• OAuth-based authorisation rather than sharing a QuickBooks password.
• Secure storage of application credentials and access tokens.
• Restricting use to authorised personnel.
• Requiring review and confirmation before financial records are created.
• Limiting the Integration’s functions to defined business purposes.
• Monitoring and investigating errors or unexpected activity.

No internet-based service can be guaranteed to be completely secure.

10. Your rights

Where applicable under UK data-protection law, individuals may have rights to:

• Request access to their personal data.
• Ask for inaccurate information to be corrected.
• Request deletion or restriction in certain circumstances.
• Object to certain processing.
• Request a copy of information in a portable format.
• Complain to the UK Information Commissioner’s Office.

11. Disconnecting the Integration

Access can be withdrawn by disconnecting the Integration from QuickBooks Online, revoking its Intuit authorisation or disabling the Notion Worker.

Disconnecting the Integration will prevent future access but will not automatically delete purchase orders, accounting records, source documents or logs already created or retained for legitimate business or legal purposes.

We may update this notice if the Integration, our business processes or applicable legal requirements change. The latest version will be published on this page with its revision date.
